Migrate from Excel to Billora
without retyping your clients or products.
Are your clients, suppliers and products already in a spreadsheet? Prepare the sheet, save it as CSV UTF-8 and import it into Billora: columns are mapped to Billora fields, duplicates are skipped and errors are flagged row by row.
Import an Excel file in 4 steps
A clear path so nothing gets lost along the way.
Prepare your sheet
One sheet per type of data, one row per record.
Check the sensitive fields
A few columns need particular care before importing.
Save as CSV UTF-8
Billora reads CSV files, not .xlsx workbooks.
Import and check
In Settings → Import / Export, "Data import" section.
Detailed migration guide
Each step explained, with Moroccan-specific attention points (ICE, numbering, VAT).
Prepare your sheet
One sheet per type of data, one row per record.
- One file (or one tab exported separately) for clients, another for suppliers, another for products: Billora imports one type at a time.
- The first row holds the column headings. Remove total rows, merged cells and empty rows.
- To save time, start from a Billora CSV template (below). You can also keep your own column headings: they will be mapped to Billora fields at import.
Check the sensitive fields
A few columns need particular care before importing.
- ICE: exactly 15 digits. Format the column as "Text": with the "Number" format, Excel drops leading zeros and the ICE then has fewer than 15 digits, which the import rejects.
- Client type: "company" or "individual". An empty or unknown value is treated as a company.
- Products: type "product" or "service", price excluding VAT, VAT rate as a number (20, 14, 10, 7 or 0). An empty rate is imported as 20%.
- Prices: a decimal comma is accepted (for example 150,50).
Save as CSV UTF-8
Billora reads CSV files, not .xlsx workbooks.
- In Excel: File → Save As → "CSV UTF-8 (Comma delimited)".
- The plain "CSV" format may save accents (é, è, ç…) badly: always prefer "CSV UTF-8".
- Billora detects the separator (comma, semicolon or tab). The file must be 5 MB or less and hold at most 500 data rows: split it otherwise.
Import and check
In Settings → Import / Export, "Data import" section.
- Click "Import a file" for the type you need (clients, suppliers, products…), then load your CSV.
- At the "Mapping" step, check how your columns match Billora fields; fix unrecognised columns by hand.
- Start the import: the report shows how many rows were imported, skipped (duplicates) and in error, with the reason for each error.
- Then spot-check a few records in the clients or products list, and fill in your own company details (ICE, IF, RC) in Settings → Information.
Ready-to-use CSV templates
Download the Billora import file templates, fill them from your export and import them directly into Billora.
What changes (and what doesn't)
What the import does not carry over
Only the values present in the CSV file are imported: Excel formatting, comments and formulas are not carried over. Check that every cell holds its final value.
Numbering of your invoices
To continue your number series, use the "Resume my numbering" assistant (Settings → Numbering). It is available once your account is activated in live mode, and depending on the features of your subscription.
Invoices, quotes and purchase orders
The same import screen also accepts invoices, quotes and purchase orders, with a dedicated CSV template to download in the application. Allow time to check these documents: their amounts, VAT and statuses must match your originals.
Keeping your original files
Keep your original Excel file. Keeping your accounting documents for the legal period (10 years in Morocco) is your responsibility: importing into Billora does not replace your archives.
Migration frequently asked questions
Does Billora read .xlsx files directly?
No, only CSV files (.csv or .txt) are accepted. In Excel, choose "Save as" then "CSV UTF-8".
My column headings are in French: is that a problem?
No. Common headings (name, e-mail, phone, city, price, VAT…) are recognised automatically, in French as well as English. Otherwise you match the column by hand at the "Mapping" step.
I have more than 500 rows: what should I do?
Split the file into several CSV files of at most 500 rows and import them one after the other. Records already imported are skipped as duplicates.
Two clients have exactly the same name: what happens?
Two records with the same name are treated as duplicates: the second one is skipped and flagged in the report. If they are two different clients, add a qualifier to the name (for example the city) before importing.
Do I also have to import my old invoices?
It is not compulsory: you can bring over only your clients and products, then resume your numbering. Importing old invoices remains possible with the dedicated template.
