What is a bundle (pack) for?
A pack (or kit) is a product you sell on a single line that is made of several items from your catalogue: its components. It has no stock of its own: when you sell it, Billora deducts the stock of each of its components.
Example. The « Kit réseau » (network kit, 500 DH excl. VAT) contains 2 Cat6 cables and 1 8-port switch. You invoice 3 kits: the invoice has a single line « Kit réseau × 3 », and stock drops by 6 cables and 3 switches.
Bundles depend on your subscription. If they are not included, the « Produit composé (pack) » (Bundle) card of the product form is locked and shows « À partir du plan … » (From plan …). A pack that already exists stays sellable and its stock keeps being deducted: only editing its composition is locked.
1. Who can create and edit a pack?
- The owner and administrators create and edit packs, like other products. In a permission group, the rights to create and edit products apply.
- The external accountant and the viewer see the composition read-only.
- Members who can create quotes and invoices can sell a pack on a quote, an invoice or a proforma invoice, like any product.
2. Create a pack, step by step
- Open Produits (Products) and create a product (or edit one). Choose the Produit type: a service cannot be a pack.
- Enter the name, the price excl. VAT and the pack's VAT rate.
- In the « Produit composé (pack) » card, switch on « Vendre ce produit comme un pack » (Sell this product as a pack).
- Type the name or code of an item in « Ajouter un composant : nom ou code du produit… » (Add a component) and click the result. Enter the quantity per pack of each component (for example 2 cables per kit). The arrows reorder components, the bin removes one.
- Below the list, Billora shows the « Somme des composants » (sum of components), the « Coût » (cost), the « Marge » (margin) and the « Stock disponible » (available stock). If the sum differs from the pack price, the « Utiliser ce prix » (Use this price) link copies it into the price field.
- Click Créer le produit (or Enregistrer).
As soon as the product is a pack, the stock management fields (tracking, quantity, threshold, warehouse) disappear from the form: a pack has no stock to enter.
3. The rules of a pack
| Rule | Message when it is not respected |
|---|---|
| At least one component, 50 at most | Un pack doit contenir au moins un composant. / Un pack ne peut pas contenir plus de 50 composants. |
| Each product only once | Un même produit ne peut figurer qu'une fois dans un pack. |
| Quantity of each component above 0, with at most 3 decimals | La quantité d'un composant doit être supérieure à 0 (3 décimales au plus). |
| A single level: a component is never itself a pack | Un pack ne peut pas contenir un autre pack. |
| The same VAT rate for the pack and all its components | Tous les composants doivent avoir le même taux de TVA que le pack. |
| A pack is a product, never a service | Un service ne peut pas être un pack. |
| A product that has stock cannot become a pack | Remettez le stock à zéro avant d'en faire un pack. |
In this first version, a pack with mixed VAT rates is not supported: all components must have the pack's rate. If you sell items at different rates, create one pack per rate or sell them on separate lines, and have this choice validated by your accountant.
A product that is already a component of a pack cannot itself become a pack (« Ce produit est déjà composant d'un pack : il ne peut pas devenir lui-même un pack. »), and its VAT rate cannot change while it is in a pack.
4. Price, cost and margin
The pack has its own price, which you set freely (bundle discount included). The « Somme des composants » is only a reference: Billora never replaces the pack price with it unless you click « Utiliser ce prix ». The cost is the sum of the components' purchase price times their quantity (marked « partiel » (partial) if a component has no purchase price), and the margin compares the pack price with that cost.
5. How is the available stock of a pack computed?
A pack's stock is not entered: it is derived from its components. For each component tracked in stock, Billora divides its stock by the quantity needed for one pack and keeps the smallest result.
Example. 9 cables (2 per kit) make 4.5 kits; 3 switches (1 per kit) make 3 kits: the available stock is 3 packs, « limité par » (limited by) the switch. A component that is not tracked in stock (or a service) is ignored; if no component is tracked, the available stock is « non limité » (unlimited).
The available stock appears in the product list (Stock column, « 3 packs »), on the pack's page (« Composition du pack » card, « Stock disponible », « Limité par : … ») and in the stock alert of invoice and quote lines.
The product list shows a « Pack » badge and the Type filter offers the « Pack » option.
6. What happens when I sell a pack?
- Quotes, proforma invoices, portal orders, recurring invoices: the pack is added like an ordinary product, even if stock management is not enabled.
- Invoice: the components' stock goes out when the invoice moves from draft to sent, exactly like a tracked product. Each component has its own movement in the history, with the note « Facture FA-… — pack KIT × 3 ». The pack itself has no movement.
- If stock management is not included in your subscription, the pack is sold like an ordinary product, with no stock movement.
- A component sold on its own and inside a pack on the same invoice: quantities are added up per product.
- Rounding: the quantity deducted for a component is computed over the whole invoice (number of packs × component quantity, all pack lines added), then rounded to 2 decimals, because stock is kept to 2 decimals.
When the invoice is sent, the pack's composition is recorded on the invoice line. If you later change the pack (add a component, new quantity), invoices already sent keep the old composition: a cancellation, a credit note or an edit of that invoice returns or adjusts exactly what was sold.
7. Editing, cancelling and credit notes
- Editing the lines of an invoice already sent: Billora corrects stock per component (difference in number of packs × the composition frozen on that invoice). A pack added by the edit takes the current composition.
- Cancelling the invoice: the components that went out return to stock, as for a tracked product.
- Cancellation credit note on a pack: the question « Voulez-vous remettre ces articles en stock ? » (Do you want to put these items back in stock?) lists the components (for example « Câble Cat6 × 2 ») according to the composition sold, and never more than the invoice took out. A commercial credit note puts nothing back. See Create and manage a credit note.
8. Delivery note and PDF
On the delivery note, the pack line is followed by an italic line « Contient : 2 × Câble Cat6 (CAB-6), 1 × Switch 8 ports » (Contains: …), without prices, taken from the composition frozen on the invoice (or the current composition if the invoice is still a draft). It is also visible in the creation window, on the delivery note page and in its PDF. The invoice PDF does not list the components: a single line, at the pack price. For e-invoicing, the pack is an ordinary line.
9. What you cannot do with a pack
A pack cannot be purchased, received, transferred or adjusted: you act on its components. Purchase orders, receipts, warehouse transfers and stock adjustments answer: « Un pack ne peut pas être acheté, reçu, transféré ni ajusté : agissez sur ses composants. »
- Deleting a component is impossible while it is in a pack (« Ce produit fait partie de … pack(s) : retirez-le d'abord. »). A component's page lists the packs that use it (« Utilisé dans » card). Archiving remains possible and does not stop the component's stock from being deducted when the pack is sold.
- Becoming a simple product again: a pack that has already been sold cannot (« Ce pack a déjà été vendu : il ne peut plus redevenir un produit simple. Archivez-le à la place. »).
- Duplicating a pack copies its composition (if your subscription allows it).
- CSV import: packs cannot be imported; create them in the application.
10. If your subscription changes
If bundles are no longer included: your existing packs keep being sold and their stock deducted component by component (otherwise stock would become wrong). Only editing the composition is locked: the « Produit composé (pack) » card becomes read-only with the message « Ce pack reste vendable et son stock continue d'être décompté ». The price, name and other fields stay editable. If the feature is included again, everything becomes editable. If creation is refused: « Les produits composés ne sont pas inclus dans votre abonnement. »
11. On the mobile app
The product form offers the same « Produit composé (pack) » switch and the list of components (« Ajouter un composant » button, quantities, order, « Utiliser ce prix » link). The product page shows the composition and the available stock, the list carries the « Pack » badge, and the delivery note shows « Contient : … ».
Frequently asked questions
Why does my pack's stock show « Non limité »?
None of its components is tracked in stock (or they are services). Turn on stock tracking on the components to get an available stock.
Why can't I add a product as a component?
Packs (single level) and products already added do not appear in the search. A product whose VAT rate differs from the pack's is flagged (« Taux de TVA différent de celui du pack ») and prevents saving.
I changed my pack: do my old invoices change?
No. Each invoice already sent keeps the composition that was sold; only new sales use the new composition.
Can I sell a pack when one component is out of stock?
Yes, as with a tracked product: stock becomes negative and a stock alert shows on the line. Restock the component through a receipt.
Does my accountant need to validate anything?
VAT for packs with mixed rates is not supported in this version; if in doubt about the rate applicable to a kit, have it validated by your accountant.
