What is it for?
Your client has just said yes to your quote. Instead of retyping everything into an invoice, you convert the quote into an invoice in one click: the client, lines, prices, VAT (TVA) and discounts are copied for you.
Example: the carpentry workshop "Menuiserie Zaïd", in Fès, sent a quote of 18,400 DH for a kitchen. The client accepts by phone. The carpenter opens the quote, clicks Convertir (Convert), and the invoice is ready in a few seconds.
When can a quote be converted?
The convert button is offered as long as the quote is Brouillon (Draft), Envoyé (Sent) or Accepté (Accepted). It is no longer offered if the quote is:
- Converti (Converted): it has already produced an invoice, and a quote can only be converted once;
- Refusé (Rejected): the client said no;
- Expiré (Expired): its expiry date has passed.
You do not need to mark the quote "Accepté" before converting it. If your client agreed verbally, convert directly. If you prefer to keep a record, first click Accepté.
How to convert, step by step
- In the menu, open Facturation → Devis (Invoicing → Quotes), then click the quote concerned to open its page.
- Click the green Convertir button at the top of the page. You will also find it in the Actions rapides (Quick actions) block ("Convertir" tile), and in the quotes list via the "…" menu of the row: Convertir en facture (Convert to invoice), which opens the quote's page.
- A Convertir en facture window opens. A blue box reminds you that the quote will be converted into a draft invoice and that the lines will be copied as they are.
- Check the Date d'émission de la facture (invoice issue date) (mandatory, today by default).
- If you wish, fill in the Date d'échéance (due date), the payment deadline.
- Click Convertir.
What you see next: you land directly on the new invoice, with the Brouillon (Draft) status. Review it, edit it if needed, then send it. It receives its number at the moment you send it.
What is copied
- the client, the subject, the payment terms, the notes and the internal notes;
- all the lines (name, description, quantity, unit, price, VAT, discounts, comment lines);
- the overall discount, if any, the totals excl. VAT (HT), VAT and incl. VAT (TTC), and the currency.
The invoice starts with nothing paid: the balance due equals the total incl. VAT (TTC).
And what happens to the quote?
- Its status changes to Converti, with the "Converti le" (Converted on) mention and the date.
- The quote's page shows a link with the number of the invoice created: one click and you are there.
- The quote can no longer be edited: if the client changes their mind about a detail, correct the draft invoice.
The invoice created counts towards your monthly invoice quota, like any other invoice. If the quota is reached, the conversion is refused with a message explaining it, and the quote is left unchanged.
A proforma invoice is converted in the same way, with its own Convertir button on its page. See Proforma invoices.
The owner and administrators. Accountants and viewers can consult the quote and the invoice, but cannot create them.
Frequently asked questions
I converted a quote by mistake. Can I undo it?
The conversion cannot be undone: the quote stays "Converti". However, the invoice created is a draft: as long as it has not been sent, you can correct it, and delete it as long as it has not received a number (once numbered, it is cancelled instead). For a new, identical quote, use Duplicate.
The "Convertir" button does not appear.
Check the quote's status: it must not be Converted, Rejected or Expired. Also check that your role allows creating documents (viewers and accountants cannot).
My client wants to change a line after accepting.
Convert, then edit the draft invoice before sending it. The original quote keeps its initial amounts, which leaves you a record of what had been proposed.
The quote did not have a number yet. Is that a problem?
No. A draft quote has no number until it is sent: the conversion assigns one automatically.
