What is this report for?

The expense report answers three questions: how much you spent, on what (which categories) and with whom (which suppliers). It helps you spot the items that weigh the most, compare months and prepare recoverable VAT.

Example: "Restaurant Dar Tazi" finds that meat purchases represent 40% of its quarter's expenses, and that two suppliers account for almost the whole total. It renegotiates its prices with them.

Open the report

  1. In the menu, open Rapports (Reports), then Dépenses (Expenses) ("Rapport Dépenses" page).
  2. Choose the period: Ce mois (This month), Mois dernier (Last month), Ce trimestre (This quarter), Trimestre dernier (Last quarter), Cette année (This year), Année dernière (Last year), or Personnalisé (Custom) (your own dates).
  3. The report recalculates by itself.

If the report is not included in your subscription, a locked page indicates the plan from which it is available.

What you see

  • Four key figures: Total HT (excl. VAT), Total TTC (incl. VAT), TVA déductible (deductible VAT) ("to recover") and the number of Fournisseurs (Suppliers) with the average expense.
  • Évolution des dépenses (Expense trend): a chart by day, week or month depending on the length of the period.
  • Par catégorie (By category): each category with its number of expenses, its total incl. VAT and its percentage.
  • Par statut (By status): what is En attente (Pending), Partielle (Partial) or Payée (Paid).
  • Top fournisseurs (Top suppliers): for each, the number of expenses, the total excl. VAT, the amount Payé (Paid) and the remaining Solde (Balance) to settle.
  • Tableau mensuel (12 mois) (Monthly table (12 months)): month by month, with expenses, excl. VAT, incl. VAT, paid and balance.
Good to know: what is counted

The report takes expenses according to their expense date, excluding drafts and cancelled expenses. An expense not yet paid already appears in it (it is a commitment): the "Solde" column tells you what remains to be settled.

VAT tip

The "TVA déductible" figure only includes expenses marked as deductible VAT. Remember to untick this option on expenses where VAT is not recoverable. Billora's VAT indications are indicative: have them validated by your accountant.

An "uncategorised" category?

Expenses without a category are grouped on a separate row. Classify them for a more meaningful report (Paramètres → Catégories, i.e. Settings → Categories).

Export the report

At the top right, three buttons: PDF (a preview opens: "Rapport Dépenses"), Excel and CSV. The PDF and Excel exports are subscription features: if one is missing, its button is greyed out and its tooltip indicates the plan from which it is available. The CSV export is free. The PDF is ideal for your accountant, the Excel for your own analyses.

Frequently asked questions

An expense is missing from the report.

Check its date (it must fall within the chosen period) and its status: a draft or a cancelled expense is not counted.

What is the difference with the Paiements → Effectués page?

The report shows what you have committed (expenses), whereas "Effectués" (Made) shows what you have actually disbursed (payments). See Recording a supplier payment.

Can I filter by supplier or by category?

The report is filtered by period. The breakdown by category and by supplier is already displayed; for a finer analysis, export to Excel or CSV and use your spreadsheet's filters.

The total does not match my accounting.

Compare the same period and the same date criterion. Expenses are attached to their expense date, not to their payment date.
