Accountant review: seen, approved or to correct on your invoices and expenses

How your chartered accountant marks each invoice and expense « Vu », « Validé » or « À corriger », leaves you comments, and how you reply in Billora, without being able to change your data.

What is it for?

The accountant review replaces e-mail and phone exchanges such as "invoice 0012, is it OK?". Your chartered accountant goes through your invoices and expenses in Billora and marks each document « Vu » (Seen), « Validé » (Approved) or « À corriger » (To correct). They can add a comment, you are notified, you reply, and the whole history stays attached to the document.

Example. Fatima Zahra, a chartered accountant in Rabat, reviews the expenses of Mounia's travel agency in Meknes at the end of the month. She approves twelve expenses in one click, then marks a supplier invoice « À corriger » with the comment "The VAT rate does not match the supporting document". Mounia receives a notification, fixes the rate, clicks « Signaler comme corrigé » (Report as corrected), and the expense reappears in Fatima's « À revoir » (To review) list.

What the review does not do

The external accountant stays read-only: marking a document changes neither the invoice, nor the expense, nor any payment. Only a review-tracking table is written. The review is a communication tool between you and your accountant: it replaces neither their engagement nor the tax validation. Billora is not accounting software; the amounts remain to be validated by your accountant.

1. Who can do what?

ActionWho
Mark « Vu » or « Validé », ask for a correction (« À corriger »), commentThe accountant, the owner and the administrator. A status set by the accountant can only be changed by the accountant: the team replies to them, it does not override them.
Reply to the review and click « Signaler comme corrigé »The owner, the administrator and the collaborator (those who can correct a document).
See the status and history of the reviewAll roles except the viewer, who does not see the review.
  • In a custom permission group, the « Revue du comptable » resource (« Pilotage » family) offers three rights: Consulter les revues (View reviews), Marquer vu / valider / demander une correction (Mark seen / approve / ask for a correction) and Répondre et signaler une correction (Reply and report a correction). A group created before this feature does not have them: add them if needed. The external accountant is not affected by custom groups.
  • An account scheduled for deletion is read-only: no review write is accepted.
  • A takeover of your account by Billora support cannot approve on the accountant's behalf: the action is refused.

2. Which documents are covered?

  • Invoices and expenses that are not drafts. A draft cannot be reviewed: issue the document first.
  • Cancelled documents are still covered, so that the accountant sees the cancellation.
  • Credit notes, quotes and purchase orders are not part of the review.
  • The « À revoir » queue covers the current and the previous financial year (calendar year, from 1 January of last year), so that years of history are not shown as "new" when the accountant arrives. You can widen the period in the queue.

3. The states of a document

State shownWhat it meansCounts in « À revoir »?
À revoir (To review)The document has never been reviewed.Yes
Vu (Seen)The accountant has looked at the document. No
Validé (Approved)The accountant approved the document. No
À corriger (To correct)The accountant asks for a correction (a comment is required). No: it is up to you to act
Correction signalée (Correction reported)You clicked « Signaler comme corrigé »: the accountant must review the document again.Yes
Réponse reçue (Reply received)The team replied in the history: the accountant must read the reply. It disappears as soon as the accountant sets a status or comments.Yes
Validé — modifié depuis (Approved — modified since)The document's tax information has changed since the last review (see section 6).Yes

The « modified since » label repeats the last status: « Validé — modifié depuis », « Vu — modifié depuis » or « À corriger — modifié depuis » (« Modifié depuis la revue » when no status is known). It never says « Validé » for a document the accountant did not approve.

A review is shared: there is one state per document, not one per accountant. The history always shows who did what, with their role.

4. Accountant side: reviewing documents

The « Revue du comptable » queue

  1. Open Comptabilité → Revue du comptable (Accounting → Accountant review). The header also shows an « À revoir (N) » pill as long as documents remain to be reviewed; one click opens the queue.
  2. Choose the Factures (Invoices) or Dépenses (Expenses) tab. The filter chips show their counts: À revoir, Jamais revus (Never reviewed), Modifiés depuis la revue (Modified since the review), Correction signalée, Réponse reçue, À corriger, Vus (Seen), Validés (Approved) and Tous les états (All states).
  3. Adjust the period (default: last year and this year) and search by number, client or supplier.
  4. On a row, click Valider (Approve), À corriger… or Ouvrir (Open) to see the document.

Approve or mark « Vu » in bulk

Tick several rows: the bar at the bottom offers Marquer « Vu » (N) and Valider (N), for at most 100 documents per action. One event is recorded per document.

Ask for a correction

Click À corriger…: the « Demander une correction » (Ask for a correction) window requires a Commentaire (obligatoire) (mandatory comment) of at least 3 and at most 2,000 characters. Confirm with Demander la correction. A correction is requested one document at a time, never in bulk.

From a document's page

On the invoice or expense page, the « Revue du comptable » panel shows the state, the last status, the history and the buttons Marquer « Vu », Valider and À corriger…. The Ajouter un commentaire (Add a comment) box with the Commenter button leaves a note without changing the status. Commenting on a document that was never reviewed marks it « Vu ».

The Espace comptable (Accountant space) also shows the « Revue des factures et dépenses » card (À revoir, À corriger, Réponse reçue ou correction signalée) and a Revue column in the sales journal and the purchase journal.

5. Owner and team side: reply and correct

  1. When the accountant asks for a correction, you receive a notification: "Votre comptable a demandé une correction — Facture FA-2026-0012" (Your accountant asked for a correction — Invoice FA-2026-0012). The header shows the « À corriger (N) » pill.
  2. Open the page: the « Revue du comptable » panel shows the request. Correct the document (edit, attachment, etc.).
  3. If needed, write in Répondre au comptable (Reply to the accountant) and click Répondre: the document moves to Réponse reçue in the accountant's list. You cannot approve on their behalf a document whose status they set.
  4. Click Signaler comme corrigé (shown as long as the status is « À corriger »). The document moves to Correction signalée and returns to the accountant's « À revoir » list.

For an owner or a collaborator, the panel appears on a page only once the document has been reviewed. In the mobile app, the page of a reviewed invoice or expense shows the « Revue du comptable » card: state, last comment, Voir l'historique (View history), Répondre and Signaler comme corrigé. The accountant has no access to the mobile app: they review documents on the web.

6. What happens if I edit an approved document?

Nothing prevents you from editing it. Billora simply compares the document's tax information with what it was on the day of the review:

  • On the edit screen of an approved document, a « Document validé » banner warns you: any change to its amounts or tax information will be reported to the accountant.
  • If this information has changed, the document moves to « Validé — modifié depuis » and returns to « À revoir ». The panel lists the differences, for example Total TTC : 1 200,00 → 1 500,00.
DocumentFields monitored
InvoiceNumber, issue date, client, total excl. VAT, total VAT, total incl. VAT, VAT breakdown, total incl. VAT of the credit notes issued against the invoice (so a partial or commercial credit note moves the invoice to « modified since »), cancellation (including cancellation by credit note).
ExpenseNumber, reference, date, supplier, category, total excl. VAT, total VAT, total incl. VAT, VAT rate, deductible VAT, cancellation.
What does not change the state

A payment, the balance, sending by e-mail, an attachment or an internal note do not change the sales or purchase entry: the document stays « Validé ». After adding a supporting document, use « Signaler comme corrigé » (if the status is « À corriger ») or reply to the accountant.

7. Who is notified, and when?

EventWho receives the notification
Correction request (« À corriger »), or a comment from the accountantThe owner and the active administrators (except the author).
Team reply, or « Signaler comme corrigé »Nobody: the accountant has no bell. The document returns to their « À revoir » list (« Réponse reçue » or « Correction signalée » states) and the message is visible in the panel.
« Vu » or « Validé » without a commentNobody: no notification, to avoid noise.
  • Notifications for the owner and administrators appear in the bell and as push notifications on mobile. No e-mail is sent for the review, and the accountant receives no notification: they follow their « À revoir » list and the header pill.
  • If you delete an expense that was already reviewed, its review and history are deleted with it.
  • The activity log keeps a trace: « Statut de revue du comptable modifié » (Accountant review status changed), « Commentaire sur la revue du comptable » (Comment on the accountant review), « Correction signalée au comptable » (Correction reported to the accountant).

8. See the review state in the lists

In the invoice and expense lists, the column picker offers « Revue du comptable » (« Suivi » group), hidden by default. It shows the state pill of each row on the page.

9. Limits and good practice

  • At most 120 review actions per hour and per user; beyond that: « Trop d'actions de revue. Réessayez dans quelques minutes. » (Too many review actions. Try again in a few minutes.)
  • A comment is plain text of at most 2,000 characters.
  • If two people act on the same document at the same time, the second sees « Ce document vient d'être revu par quelqu'un d'autre. Rechargez la page. » (This document was just reviewed by someone else. Reload the page.)
  • On a very wide period (more than 5,000 documents), the queue shows « Période trop large : affinez la période pour voir tous les documents. » (Period too wide: narrow the period to see all documents.)

Frequently asked questions

Can I undo an approval?

Yes: the accountant (or the owner / administrator) sets another status, for example « Vu » or « À corriger ». The history keeps every change.

Can my accountant edit my invoice?

No. They can only mark the document and leave comments. To fix an issued invoice, you go through editing or a credit note, depending on the case.

I don't see the « Revue du comptable » panel on an invoice.

Three possible reasons: the document is a draft, your role is « Lecteur » (viewer), or (for the owner and the team) the accountant has not reviewed this document yet.

Why did an approved document come back to « À revoir »?

Because its tax information has changed since the approval (« Validé — modifié depuis » state). Open the page to see the differences.

Why didn't I receive any e-mail?

The review notifies through the bell and push notifications only, and only the owner and the administrators. A « Vu » or « Validé » without a comment triggers no notification.

Can I approve in place of my accountant?

If the accountant has already set a status, no: only they can change it (you reply to them in the history). On a document they have not reviewed yet, the owner and the administrator can set a status from the « Revue du comptable » queue.

Does the approval have tax value?

No, it is a way to follow up your exchange with your accountant. The amounts and VAT shown remain indicative and must be validated by your accountant.
