What is it for?

When a client pays you, you tell Billora: the invoice moves to Payé (Paid) (or Partiel (Partial) if it is a deposit), your balance to collect goes down, and your reports, your dashboard and your reminders stay accurate. A client who has paid no longer receives a reminder.

Example: "Boulangerie Al Baraka" receives a 6,000 DH invoice from its flour supplier "Moulin Atlas". It pays 2,000 DH by bank transfer, then 4,000 DH by cheque two weeks later. Moulin Atlas records two payments on the same invoice.

Record a payment, step by step

  1. Open the invoice in Facturation → Factures (Invoicing → Invoices).
  2. Click the Paiement (Payment) button at the top of the page. An Enregistrer un paiement (Record a payment) window opens. The button does not appear for a draft, an invoice already paid or cancelled, or for a viewer.
  3. The Solde restant (Remaining balance) line reminds you what is left to collect.
  4. The Montant (DH) (Amount) is pre-filled with this balance. Correct it if the client pays only part.
  5. Choose the Date de paiement (Payment date): never in the future.
  6. Choose the Mode de paiement (Payment method): Virement bancaire (Bank transfer), Chèque (Cheque), Espèces (Cash) or Carte bancaire (Bank card).
  7. If you wish, enter the Référence (transfer number, cheque number…) and internal Notes.
  8. Click Enregistrer (Save).

What you see next: the invoice shows its new status and its new balance, and a Historique des paiements (Payment history) section lists each payment (method, date, reference). Clicking a row opens the payment's page.

Other places to record a collection

In Paiements → Reçus (Payments → Received), the Enregistrer un encaissement (Record a collection) button lets you search for the client and then split a single payment across one or several of their invoices. See Grouped payment.

Invoice statuses after a payment

SituationStatus displayed
No payment collectedEnvoyé (Sent) (or En retard (Overdue) if the due date has passed)
Only part is collectedPartiel, with the amount left to pay
The total is collectedPayé

Partial payment (deposit, payment in instalments)

Simply enter the amount actually received. The invoice moves to Partiel and the amount left to pay is displayed. You can record as many payments as needed: as soon as the total is reached, the invoice moves to Payé.

Good to know

Billora refuses an amount greater than the remaining balance ("Le montant dépasse le solde restant", i.e. the amount exceeds the remaining balance). If a client overpaid, record the amount due, then handle the overpayment separately (credit note or refund).

Payment by cheque

If the cheque register is available on your subscription, choosing Chèque displays an Informations du chèque (Cheque information) block: Tireur (Drawer), Banque émettrice (Issuing bank), Numéro du chèque (Cheque number) (mandatory) and Date d'encaissement visée (Target collection date). While you type the bank, Billora suggests banks in Morocco (« AWB » finds Attijariwafa Bank, « BMCE » Bank of Africa); you can also write another bank.

The cheque is then tracked in Paiements → Chèques (Payments → Cheques), with the "En attente" (Pending) status. A pending cheque is not yet money: depending on your setting in Paramètres → Informations (Settings → Information) ("Un chèque solde la facture/dépense à partir du statut" (A cheque settles the invoice/expense from the status): Déposé (Deposited) or Payé (encaissé) (Paid (cashed))), the invoice only moves to Paid once the cheque is cashed. If cheques in progress already cover the balance, a banner tells you so and the proposed amount takes them into account. See Tracking your cheques and Making a bank deposit of cheques.

Cash payment: the Moroccan rules

When you choose Espèces (Cash), Billora applies the Moroccan tax rules to protect you:

  • Invoice of 20,000 DH incl. VAT (TTC) or more: cash payment blocked. A red box "Paiement en espèces non autorisé" (Cash payment not allowed) explains that collecting it exposes you to a 6% fine (Article 193 of the CGI). Use a crossed cheque, a bank transfer, a bill of exchange or an electronic means.
  • Two permitted cases still allow you to record it: "Chèque ou effet de commerce impayé" (Unpaid cheque or bill of exchange) (attach the bank's non-payment notice) and "Versement en espèces sur le compte bancaire" (Cash deposit into the bank account) (attach the deposit slip; the depositor's national ID card is optional). Without the supporting document, recording is refused. The payment then carries the mention "Cas admis · justifié" (Permitted case · supported).
  • Caps of 5,000 DH per day and 50,000 DH per month per client: beyond that, it is your client who can no longer deduct this expense or the VAT. Billora shows you an alert ("Non déductible pour le client", i.e. not deductible for the client), but for you, the collection has no tax consequence.
Important

The 20,000 DH threshold is assessed on the invoice's amount incl. VAT (TTC), not on the amount of the payment: settling a 25,000 DH invoice in cash in two instalments of 12,500 DH does not get around the rule.

If the invoice is validated by the DGI (e-invoicing)

In the payment window, a message reminds you: for an invoice validated by the DGI, collections must be declared to the DGI within 48 hours (cash-basis VAT (encaissement) regime). Use the Déclarer DGI (Declare to DGI) button on the invoice's page. If the invoice is still being validated, or rejected, a warning message invites you to regularise first. See Activating e-invoicing.

After the payment: receipt, confirmation, cancellation

  • Payment receipt: in Paiements → Reçus, the "…" menu of a row offers the receipt as a PDF and Envoyer le reçu (Send the receipt) to the client by email.
  • Automatic confirmation email: if your subscription includes it, enable it in Paramètres → Relances (Settings → Reminders) ("Confirmation de paiement" section): the client receives a message after each payment, partial or total.
  • Cancel a payment entered by mistake: in Paiements → Reçus, "…" menu then Annuler (Cancel). A reason is mandatory; the invoice balance is recalculated and the payment remains visible in the history. Reserved to the owner and administrators. Not possible if the payment has already been declared to the DGI (a credit note is then needed) or if it is linked to a cheque (you then go through the cheque's status, for example "Impayé" (Unpaid)).

Frequently asked questions

The "Paiement" button does not appear on my invoice.

It is not offered on a draft (send the invoice first), on an invoice already Paid, Cancelled or cancelled by a credit note, or if your role is read-only.

My client paid in several instalments, how do I do it?

Record a payment for each instalment. The invoice stays "Partiel" until the last one.

My client settled several invoices with a single transfer.

Use grouped payment: Grouped payment.

Why is my invoice not "Payé" even though I received the cheque?

Because the cheque is not cashed. Move it to "Déposé" then "Payé" in the register, depending on your setting.

The client promises to pay next week. What should I do?

Do not record anything until you have received something: note a payment promise instead. See Payment promises.
