What is it for?
Every file you upload to Billora — expense receipt, attachment of a payment or a client, logo, stamp, letterhead, tax certificate… — takes up room in your storage space. The Fichiers et stockage (Files and storage) page gathers them all in one place: you see what takes up your space and where each file comes from.
Example. Nadia, who runs a travel agency in Agadir, sees her space filling up. By sorting the Taille (Size) column, she spots very heavy receipt photos sent from her phone, attached to old expenses.
1. Open the page
- In the menu, open Paramètres (Settings).
- Choose Fichiers et stockage (Files and storage).
The owner, administrators, collaborators and viewers, read-only. The external accountant has no access to Settings.
2. Read the storage space
The Espace de stockage (Storage space) block, at the top of the page, shows:
- the space used, in MB, and your subscription limit (« utilisés sur … Mo » — used out of … MB), or « illimité » (unlimited) if your subscription has no limit — which is also the case in test mode;
- the number of files;
- a progress bar, orange from 80% of the limit and red when it is reached;
- the breakdown by origin (expenses, payments, settings…), with the number of files and the space used.
Every file uploaded to Billora counts towards this space, including attachments sent to support. The PDFs of your invoices, quotes and other documents do not count: they are generated on demand. To find out what happens when the limit is reached, see Understanding plans and limits.
3. Find a file
The table lists the files from newest to oldest, with the columns Fichier (File), Origine (Origin), Taille (Size) and Date.
- Rechercher un fichier… (Search a file…): searches the file name and its origin (for example an expense number or a client name), ignoring accents and capitals.
- Toutes les origines (All origins): limits the list to one origin (Dépense, Paiement, Client, Fournisseur, Bon de réception, Document administratif, Paramètres, Support, Produit, Non rattaché).
- Sort: click a column header (Fichier, Origine, Taille or Date); a second click reverses the order. By default, newest first; sort by Taille (Size) to find the largest files.
- To view a file, click its name or the eye icon (Voir — View): PDFs and images open in Billora. The download icon saves it to your device.
4. What does the « Origine » column mean?
It shows where the file is used, with a link to the page concerned:
- Dépense, Paiement, Client, Fournisseur, Bon de réception (Expense, Payment, Client, Supplier, Goods receipt): attachment of the record (its number or name is shown);
- Document administratif (Administrative document): document added in the company settings;
- Paramètres (Settings): logo, stamp, signature, letterhead images or tax compliance certificate;
- Support: attachment sent in a conversation with support;
- Produit (Product): image of a catalogue product;
- Non rattaché (Not linked): file present in your space but used nowhere (for example an interrupted upload or an old replaced logo).
5. Free up space
This page is for viewing: nothing is deleted here. To delete a file, open its origin record (link in the « Origine » column) and delete it there, as usual. A file still used elsewhere (for example as a logo) is never erased from the disk.
« Non rattaché » files do not appear on any record: if you want them deleted, write to support from the Aide (Help) button.
Frequently asked questions
Why is the space used larger than the sum of my receipts?
Because everything counts: logo, stamp, signature, letterhead, certificate, support attachments and product images, on top of receipts.
Do my invoice PDFs take up space?
No. They are generated each time they are opened or downloaded and are not stored.
I only see the most recent files.
Beyond 5,000 files, only the most recent are listed (a message says so). The space used still counts every file.
Can I delete a file from this page?
No, deletion is done from the origin record, so that a file still used by a document is never removed.
