What is it for?

A recorded expense is not necessarily paid. When you pay your supplier, you tell Billora: the expense moves to Partiel (Partial) then Payé (Paid), your "remaining to disburse" goes down, and your cash reports are accurate.

Example: "Garage Ouazzani" receives a 3,600 DH invoice from its parts supplier "Auto Pièces Maroc". It pays a 1,000 DH deposit on ordering, then the balance at the end of the month.

Record a payment, step by step

From the expense:

  1. Open Facturation → Dépenses (Invoicing → Expenses), then the expense concerned.
  2. Click the Paiement (Payment) button at the top of the page. It appears as long as a balance remains and the expense is not cancelled.
  3. Enter the Montant (DH) (Amount), the Date (not in the future) and the Mode de paiement (Payment method): bank transfer, cheque, cash or bank card.
  4. Add a Référence (Reference) and Notes if useful, then click Enregistrer (Save).

From the Payments page: open Paiements → Effectués (Payments → Made) ("Décaissements" (Disbursements) page), then Enregistrer un décaissement (Record a disbursement). First step: search for the expense or the supplier and click Continuer (Continue). Second step: fill in the same fields, then Enregistrer. To settle several expenses from the same supplier in one go, see Grouped payment.

What you see next: the expense's balance decreases, its status is updated, and the payment appears in the expense's history and in the list of disbursements.

Partial payment

You can settle an expense in several instalments. After each payment, the expense shows the amount already settled and the remaining balance: it is Partiel until the last payment, then Payé. Billora refuses an amount greater than the remaining balance.

Payment methods and special rules

  • Virement bancaire (Bank transfer) and Carte bancaire (Bank card): no particular check.
  • Chèque (Cheque): if the cheque register is available, an entry block appears (drawer = your company, issuing bank, number, due date). The expense is settled only once the cheque has been debited by your bank. See Tracking your cheques. The register's Émettre un chèque (Issue a cheque) button opens this same window with the Cheque method already chosen.
  • Espèces (Cash): if the supplier's invoice reaches 20,000 DH incl. VAT (TTC), Billora warns that paying in cash exposes your supplier to a 6% fine and makes the expense non-deductible (permitted cases possible with supporting documents). Beyond 5,000 DH per day or 50,000 DH per month per supplier, the expense and its VAT are no longer deductible for you: an alert is displayed.
Why these alerts?

These limits are set by the General Tax Code (CGI). Billora applies them so that you do not lose the deduction of an expense or of VAT without knowing it. Prefer a bank transfer or a crossed cheque for large amounts.

Where to find your supplier payments

  • In Paiements → Effectués, with the "Décaissé" (Disbursed) total and the "À décaisser" (To disburse) total for the period.
  • In Rapports → Dépenses (Reports → Expenses) ("Payé" and "Solde" columns) and in the bank reconciliation.
  • On each payment's page, where you can Envoyer le reçu (Send the receipt) to the supplier by email.
Good to know

A payment entered by mistake can be cancelled in Paiements → Effectués ("…" menu then Annuler (Cancel), with a mandatory reason) by the owner or an administrator. The expense's balance is recalculated. A payment linked to a cheque is cancelled through the cheque's status.

Also remember to attach the supplier's invoice to the expense: the "Justificatifs manquants" (Missing receipts) page shows you what is still to be filed. See Recording an expense.

Frequently asked questions

I do not see the "Paiement" button on my expense.

The expense may already be settled or cancelled, or your role is read-only. An expense already "Payé" no longer receives payments.

I paid two of a supplier's expenses with a single transfer.

Use Paiement groupé (Grouped payment) (Payments page) to split a single payment across the two expenses.

The cheque has not been debited yet: is my expense paid?

No. It becomes so when the cheque moves to "Débité" (Debited) in the register.

I paid too quickly: the amount exceeds the balance.

Billora refuses the entry. Correct the payment amount or, if the expense itself is wrong, edit it first.
