What are answers about your figures for?

In the application, the support assistant (BilloBot) does not only explain how to use Billora: it can also answer questions about your account without you opening a report. "How many invoices are overdue?", "What is my revenue this month?", "Which clients should I chase first?".

What the assistant can answer depends on your subscription: there are four answer levels. Every figure comes from the same calculation as the dashboard and the reports: the assistant calculates nothing in its head and never gives a figure that is not displayed on screen.

Example. Karim runs a hardware shop in Fez. He asks the assistant: "Has my revenue dropped compared with last month?". Depending on his subscription, the assistant gives him this month's revenue excluding and including VAT, last month's revenue and the percentage change, or explains that this answer is not included and tells him where to find the report.

Indicative figures, to be checked

The assistant is automatic and can make mistakes. For VAT and accounting entries, amounts are always indicative: have them validated by your accountant before any declaration. The assistant gives no tax advice and changes nothing in your account.

1. The four answer levels

LevelWhat the assistant answersExample questions
1. General questionsHow to use Billora, online help, prices, paying the subscription, passing a request to the team. No data from your account."How do I add a discount?"
2. Account countsThe number of documents, by type, period and status, and the state of a document from its number. Never an amount."How many invoices are overdue?", "How many quotes in October?"
3. Figures and summariesThe amounts: revenue, receivables and overdue invoices, top clients, expenses, indicative VAT, compared with the previous period."What is my revenue this month?", "How much do my clients owe me?"
4. In-depth analysisA real analysis that cross-checks several sources: what explains the change in revenue, which clients to chase first, cash flow for the coming months."Why did my revenue drop?", "Which clients should I chase first?", "Prepare this month's review"

Levels 2, 3 and 4 are set per subscription: your subscription may include only one of these levels, several of them or none. A level does not necessarily include another one. General questions (level 1) are available as soon as the assistant is enabled. To see your subscription: Settings → Plan & Facturation (see Change plan).

An account in test mode has access to all levels, as to all features.

2. Level 2: account counts

The assistant counts for you: invoices, quotes, purchase orders, expenses, credit notes, delivery notes, proforma invoices, expense claims, cheques to deposit at the bank, clients, suppliers, products and services. It can count in total, this month, last month, this year, last year, or for a specific month or year, and for a status (overdue or unpaid invoices, quotes awaiting an answer, etc.).

  • A status asked without a period ("overdue", "unpaid") is counted as of today.
  • The number is the one of the matching list in Billora.
  • For a specific document, give its number ("Where is invoice FA-2026-0042?"): the assistant gives its status and dates, without the client's name.

3. Level 3: amounts and summaries

Possible periods: this month, last month, this quarter, last quarter, this year, last year, or a specific month or year. When no period is mentioned, the assistant takes the current month. Each answer states the period.

QuestionWhat the assistant givesSame figure as
RevenueRevenue excluding and including VAT net of credit notes, number of invoices and invoiced clients, amount collected and amount still to collect on the period's invoices, comparison with the previous period (change in %).The Revenue report and the dashboard. Drafts and cancelled invoices are not counted; each credit note is deducted on its issue date.
Receivables and overdue invoicesThe total unpaid balance (including clients' opening balances), the number and amount of overdue invoices, the clients who owe the most. Situation as of today. The « Solde impayé » card and the overdue invoices indicator of the dashboard, the aging report.
Top clientsThe ranking by revenue excluding VAT net of credit notes, each client's share, the amount collected and the balance due.The Client analysis report.
ExpensesExpenses excluding and including VAT for the period, net of supplier credit notes, with the comparison with the previous period. The dashboard (drafts and cancelled expenses excluded).
Indicative VATCollected, deductible and payable VAT for the current declaration period (month or quarter depending on your setting) or for a given period, according to your regime (invoice-based or cash-based).The VAT report and the dashboard. Always with the notice « Montants indicatifs — Billora n'est pas un logiciel de comptabilité. Faites valider vos chiffres par votre comptable ou expert-comptable avant toute déclaration. »

4. Level 4: in-depth analysis

For an analysis question, the assistant chains several look-ups of your figures, then answers in a structured way: the figures found, what the figures show (number of invoices, invoiced clients, credit notes, invoices not yet issued, overdue invoices), what you can do, with a link to the relevant screen, and the source of each figure. It never claims a cause that the figures do not show.

  • Clients to chase first: overdue invoices grouped by client and ranked with a rule shown in the answer: overdue amount, age of the oldest overdue invoice (capped at 90 days) and broken payment promises. The client's average payment time is given for information. See also payment promises.
  • Cash flow for the coming months: expected receipts and payments for the current month and the following months, the part covered by received cheques and payment promises, and the end-of-month balance if the opening cash is filled in. It relies on the cash forecast: if this report is not included in your subscription, the assistant cannot provide it.

5. Who can get these answers?

The assistant respects your rights: it only answers about what you can view in Billora.

  • Revenue, receivables, expenses, VAT and reminders: the right to view Financial reports (reminders: also Payment promises).
  • Top clients: the right to view Operational reports.
  • Cash forecast: the right to view the Cash forecast.
  • Document counts: the right to view each document type; a type you cannot view is not counted.

If your role does not have the right, the assistant simply says so. See permission groups to adjust a member's rights.

6. When your subscription does not include the level

If you ask a question from a level that is not included, the assistant:

  1. answers with what your level allows (for example the number of documents of the period);
  2. tells you that this answer is part of the answers not included in your current subscription;
  3. if you are the account owner or an administrator, suggests the plan that includes it, with the « Abonnement et plans » link. It does so only once per conversation.
  • No active plan includes the level: "not available on your current subscription", with no suggestion to change.
  • Collaborator, accountant or viewer: the assistant suggests asking the account owner, without a subscription link.
  • Application on iPhone or iPad: "not available on your current subscription", without plan name, price or subscription link.
  • Account in test mode: everything is open, no suggestion.

Frequently asked questions

Why does the assistant not give me my revenue?

Three possible causes: your subscription does not include answers about figures (the assistant tells you), your role does not have the right to view financial reports, or the Billora team has not enabled this answer for now. In every case the figure remains available in the dashboard and the reports, depending on your subscription.

The assistant's figure differs from my report. Why?

Check that the period is the same (the assistant states it in its answer): when no period is mentioned, it takes the current month. The figures come from the same calculations as the dashboard; if a gap remains, use « Réponse inutile » under the answer and pass your request to the team from the assistant.

Can the assistant edit an invoice or send a reminder?

No. It reads and explains: it creates, edits and sends nothing. Reminders are sent from the invoices or the collections module.

Are my clients' names sent to a provider?

Answers about top clients and clients to chase quote your clients' names as they appear in Billora. No e-mail address, phone number or company identifier (ICE) is sent. See the privacy policy on the website for the details of the processing.

Does the assistant give advice about my VAT?

No. It gives the amounts calculated by Billora, always with the notice "indicative", and refers you to your accountant for any decision or declaration.
